Under the general supervision of the Admissions Manager, the Admissions Outreach Coordinator is a dynamic and integral role within the Nicolet College Admissions Office. This position is responsible for planning, coordinating, and executing a variety of admission events, as well as developing and managing communications campaigns to engage various audiences for recruitment and enrollment purposes. The ideal candidate will have a passion for higher education, exceptional organizational skills, and experience in event planning and communications.
Primary Duties and Responsibilities

Admissions Communications
• Develop year-long multi-channel communication plans for the admissions team including recruitment, dual-credit, and other audiences; work with other campus departments to identify and align communications to audiences, ensuring effecting timing and calls to action.
• Create and execute email marketing campaigns to nurture prospective students throughout the admissions funnel, from inquiry to enrollment.
• Create and execute email marketing campaigns to additional audiences including dual-credit students, current students and stop out students.
• Source recipient lists from various internal and external entities.
• Develop compelling and personalized content, including copywriting and design elements, that resonate with different segments of the prospective student population.
• Maintain existing communication assets (e.g., SMS, email, mail); create new assets as needed.
• Utilize CRM tools to segment audiences and tailor messages to specific audiences, ensuring personalized and relevant communication.
• Track and analyze the performance of campaigns, using metrics such as open rates, click-through rates, and conversion rates to optimize future campaigns.
• Ensure all communications (e.g., email, SMS) comply with legal regulations, institutional policies, and best industry practices.
• Work with the Nicolet College Marketing team to ensure accuracy of messaging, continuity of voice, execution of brand standards and timing of messaging (in conjunctions with print and social media).
Event Planning
• Plan, organize, and execute a variety of admission-related events, including College Visit Days, Competition Day, open houses and specialty events.
• Develop and execute timelines for event messaging to internal and external stakeholders including school district staff, students, facilities, faculty, deans and enrollment team members.
• Handle all logistics for events, including reserving spaces, coordinating food, developing itineraries, ensuring technology set up, building registration forms, securing volunteers, developing schedules, and ordering promotional items and other event materials.
• Work collaboratively with Arts & Events Manager and facilities staff to ensure venue availability and food service to ensure smooth execution of events.
• Manage event budgets, track expenses, and ensure cost-effective solutions without compromising on quality.
• Conduct post-event evaluations to gather feedback and assess the success of events, implementing improvements as needed.
Continuous Improvement
• Identify, improve and update processes to better serve the needs of event attendees and stakeholders.
• Work with Admissions team to conceptualize enhancements to existing events and possible alternative event options.
• Ensure alignment of admissions events with college strategic plans and academic priorities.
• Evaluate existing communication efforts and identify opportunities for improvements.
• Work to ensure admissions templates (SMS, letters, email, flyers, handouts) are kept up to date.
• Serve as primary liaison to the Marketing team to relay the communication and event marketing needs of the Admissions team.
Knowledge, Skills, and Abilities:
• Excellent communication skills with an emphasis on writing, proofing, and editing.
• Skilled at creating and delivering content across multiple channels and platforms.
• Strong attention to detail and ability to multitask in a fast-paced environment.
• Strong project management and organizational skills.
• Ability to successfully manage multiple projects and deadlines.
• Proficiency in working with marketing automation platforms (e.g., Mailchimp, Constant Contact, Pardot) and CRM systems.
• Ability to work both independently and collaboratively within a team environment.
• Knowledge of legal and ethical standards in marketing, including data privacy laws, advertising regulations and ethical admission practices.
• Ability to adapt to changing priorities and demands.
• Excellent problem-solving skills.
Qualifications
Required Qualifications:
• Associate's Degree
• Minimum two years' work experience in marketing, communications, event management, or a related field.
Preferred Qualifications:
• Bachelor's Degree in Communications, Marketing, Business or related field preferred.
• Experience working in higher education or related field.
• Experience in recruiting or sales position.
• Experience with CRM and/or Student Information System
• Experience with broadcast email platforms and other communication systems (e.g., text, chat).

Compensation:
The typical starting pay range for this position is $23.91-27.33/hour commensurate with qualifications and experience. Includes a comprehensive benefits package.
