Job Duties:
This position is responsible for maintaining the accuracy and timeliness of curricular and advisement data in the student information system and degree audit systems within the Academic Services area of the Registrar’s Office.
Duties include assistance with data reporting, as well as testing of changes or upgrades to PeopleSoft/Oracle Campus Solutions academic advisement reports and degree audit systems. This position serves as the primary contact and content area expert for the degree audit system for degree completion and reporting. This position works collaboratively with other staff to identify updates required on existing and new curriculum for program requirements. This position will collaborate with the Registrar and/or Assistant Registrar to identify conflicts between technology, official academic requirements, individual student exceptions, practices of academic programs, the Academic Catalog, and Curriculum Information Management (CIM). Finally, this position will provide broad‐based support for projects and initiatives within the Registrar’s Office. This position serves as a backup for the posting of transfer credits and course substitutions. The working title for this position is Degree Audit Specialist.
Key Job Responsibilities:
- Audits and corrects data to ensure accuracy and completeness
- Collaborates with students, academic deans, faculty, advisors, and staff to resolve curricular and student record issues
- Provides direction to students and staff on a variety of academic processes and policies including graduation requirements, academic standing, enrollment, and course change requests
- Implements, interprets, and enforces instructional, professional, and legal standards and regulations related to student, curricular, and academic records
- Ensures correct and timely management of student records, course registration, and degree audits within the student information systems

This position will require a full-time work schedule onsite.
Additional duties specific to the position:
Degree Audit and Graduation Processing:
- Conduct review of graduation completion for undergraduate and graduate students who have applied to graduate following the University Catalog program requirements and communicate status to students and advisors.
- Review student records for enrollment (credits/courses) adhering to degree completion plans for major/minor program requirements
- Assist with questions regarding graduation requirements and general academic regulations.
- Review academic advising reports (AAR) for accuracy and coordinate updates with Transfer Specialist
- Independent decision making and interpretation of university policies and procedures involving graduation requirements.
- Build Academic Advising Reports for approved self-designed programs.
Degree Audit System Technical Support:
- Performs regular testing of the degree audit system.
- Identify changes in university policies impacting general education requirements for major, minors and certificate programs’ degree requirements.
- Run process to identify students eligible to apply for graduation.
Commencement
- Assist in preparation of the Commencement Program
- Serves as an active member of the Commencement Committee
- Assist with selection of commencement student speaker and junior marshal for ceremony participation.
- Operates registration table at spring commencement and the fall grad walk.
Office Support
- Provide office support and back-up for telephone, email, and walk-in customers.
- Act as backup to the Transfer Specialist for posting transfer credits and course substitutions.
- Assist with student registration and another unit support as needed.
- May need to work occasionally after business hours or on weekends.
Other Duties:
- Complete required trainings and professional development as assigned.
- Other duties as assigned.
Knowledge, Skills and Abilities:
- Experience using common Microsoft applications such as Microsoft Outlook, Word, and Excel.
- Excellent communication skills, strong customer service orientation, and the ability to interact with a wide variety of people (faculty, staff, students, and the public) in a friendly, professional manner.
- Ability to gain knowledge of university policies, procedures, major/minor/certificates, and graduation requirements.
- Strong interpersonal skills, with the ability to deal effectively with difficult situations.
- Ability to multitask effectively with strong organizational and time management skills.
- Ability to perceive where discretion is necessary and maintain the strictest confidentiality following Family Educational Rights and Privacy Act (FERPA) regulations.
- Ability to read and understand degree and major requirements.
- Ability to calculate and understand grade point average.
- Basic office skills: word processing, filing, and answering telephones.
- Ability to work independently with minimal supervision.
- Ability to read and evaluate academic transcripts.
Required Qualifications:
- High school diploma or equivalent
- Experience working with a customer or student information system
- Experience working with confidential and personal information
This position is currently ineligible for H1-B sponsorship. A qualification for this position includes independent eligibility to work within the United States upon hire date.
Desirable Qualifications:
- Postsecondary degree from an accredited institution
- Experience working in an educational setting, specifically working with student records
- Experience working with a degree audit system similar to PeopleSoft Academic Advisement Reports
Compensation & Benefits: Salary range for this position is: $40,510 - $42,000 annually.
